Privacy Policy

Effective Date: March 30, 2026

1. Overview

Budgeteer LLC ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have regarding your data. This policy applies to the Budgeteer web application and any related services (collectively, the "Service").

Because Budgeteer is a California-based business and serves California residents, this policy is written to comply with the California Consumer Privacy Act (CCPA) and its amendment, the California Privacy Rights Act (CPRA).

2. Information We Collect

2.1 Information You Provide

We collect information you provide directly when you register, set up your account, or use the Service:

  • Name and email address
  • Password (stored in hashed, non-readable form)
  • Financial data you enter or import, including income, expenses, account balances, and budget categories
  • Payment information for subscription billing (processed by our payment processor; we do not store full card numbers)
  • Any communications you send us, including support requests

2.2 Information Collected Automatically

When you use the Service, we automatically collect certain technical information:

  • IP address and general geographic location
  • Browser type, operating system, and device information
  • Pages visited, features used, and actions taken within the Service
  • Date and time of access
  • Referral URLs

2.3 Cookies and Similar Technologies

We use cookies and similar tracking technologies to maintain session state, remember preferences, and analyze usage patterns. You may disable cookies through your browser settings, though this may affect Service functionality. We do not use cookies for cross-site advertising.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process subscription payments and manage your account
  • Respond to your questions, requests, and support needs
  • Send transactional emails such as receipts, password resets, and account notifications
  • Monitor and analyze usage to improve the Service
  • Detect, investigate, and prevent fraud or abuse
  • Comply with applicable legal obligations

We do not sell your personal information. We do not use your financial data for advertising purposes. We do not share your data with third parties for their own marketing.

4. How We Use AI in the Service

Budgeteer uses artificial intelligence (AI) in a handful of places where it saves you typing or clicking: reading receipts, matching imported transactions to merchants you already know, spotting unusual spending, clustering duplicate payee names, suggesting which transactions might explain a reconciliation gap, projecting savings goal and debt payoff dates, and writing a short monthly summary. This section describes exactly what is and isn't sent to AI providers.

4.1 AI providers we use

We use third-party AI providers, currently Anthropic (Claude) and Google (Gemini), to process AI requests. Each request is sent over an encrypted connection (TLS). These providers are contractually bound by their API terms not to use your request data to train their models.

4.2 What is sent to an AI provider

Only the minimum data needed for the feature you're using:

  • Receipt scanning. The receipt image you choose to scan, plus the list of payee names you already have, so the merchant on the receipt can be matched to an existing payee. We do not send account numbers or balances.
  • Merchant-name matching on imports. When an imported transaction's payee name is close to one you already have (for example "AMZN MKTP US*2K4R" vs. "Amazon.com"), we send just those two payee names and ask the AI whether they refer to the same merchant. No amounts, no dates, no category list.
  • Anomaly detection. Up to 200 of your most recent transactions from the last 30 days (each with the date, merchant name, amount, type, and category), plus per-merchant averages from the prior 6 months. No account numbers, no balances, no personal contact information.
  • Payee de-duplication. Your payee names only, so similar variants like "AMZ Mktp" and "Amazon.com" can be clustered. No transaction or balance data.
  • Reconciliation suggestions. When the account balance you entered doesn't match the bank's, we send up to 50 uncleared transactions for that account (date, merchant, amount), the dollar difference, the statement date, and the account's display name. We do not send account or routing numbers.
  • Savings and debt payoff projections. For each savings goal: the category name, its current balance, target amount, target date, and your recent average contribution. For each debt: the account's display name, balance, interest rate, and monthly payment. We do not send account or routing numbers.
  • Monthly summary. Aggregated category totals and percentage changes only. We do not send raw transactions, merchant names, or individual account balances.

4.3 What is never sent to an AI provider

  • Your name, email address, mailing address, or phone number
  • Your bank account numbers or routing numbers
  • Any other field that personally identifies you to the AI provider

4.4 Training and retention

Our AI providers' API terms prohibit using your requests to train their models. We do not store the content of AI requests on our servers beyond the time needed to handle the response. Our usage logs record only metadata (which feature was used, which model, token counts, and cost), not the prompt or response content. AI providers may retain requests on their side for a short period to monitor for abuse, as described in their own terms.

5. How We Share Your Information

We may share your information in the following limited circumstances:

5.1 Service Providers

We work with third-party vendors who help us operate the Service, including payment processors, cloud hosting providers, and analytics services. These vendors are contractually bound to use your information only as directed by us and in accordance with this policy.

5.3 Business Transfers

If Budgeteer LLC is acquired, merged, or transferred to another entity, your information may be transferred as part of that transaction. We will notify you in advance and your rights under this policy will continue to apply.
